Privacy Policy

CourtPlan is built for volunteer and club youth basketball coaches. This policy explains what data we collect, how we use it, and the choices you have.

1. Information We Collect

To run CourtPlan and generate practice plans for your team, we collect a small amount of information about you:

Account information. When you sign up, you provide an email address, a display name, and a password. We store the password as a one-way bcrypt hash — we cannot read your password, and we never store it in plaintext.

Practice plans. When you generate a practice plan, we save the plan configuration you chose (age group, skill level, duration, focus area) and the resulting drill list. Free coaches' weekly generation count is tracked in our plan_usage table to enforce the 3-plans-per-week free tier. Pro coaches can also save plans to their account for re-use across a season — those saved plans live in our saved_plans table.

Analytics events. When you generate a plan, sign up, or load a page, we log an event in our analytics_events table. Events include the page or action, a timestamp, and — for incoming traffic — an anonymized referrer and UTM parameters so we can tell which sources (search, social, direct) send coaches to CourtPlan.

Newsletter subscribers. If you sign up for product updates or coach tips, we store your email address, the page you signed up from, and the referring site (if any) in our email_subscribers table.

2. How We Use Your Information

We use the information above to generate and save your practice plans, to enforce the free-tier limit, to send you the transactional or newsletter emails you have opted into, and to understand which channels bring coaches to CourtPlan so we can focus our time on the ones that work.

We do not sell, rent, or trade your personal information to data brokers or third-party advertisers. Ever.

3. Billing

CourtPlan Pro subscriptions are processed through Stripe Connect — Polsia's managed Stripe account that powers checkout across the CourtPlan platform. CourtPlan never sees, transmits, or stores your card number, cardholder name, CVC, or full billing address. When you click "Upgrade to Pro," you are redirected to a Stripe-hosted checkout page; Stripe collects payment details on their infrastructure under their own privacy policy and PCI-DSS controls.

After a successful checkout, Stripe tells us only the subscription status, the plan ID, the current period end, and the last four digits of the card you used (so we can show "Visa ending in 4242" in your account settings). That minimal subscription record plus a verification audit trail is stored in our subscriptions and subscription_audit_log tables.

You can update your card, change your billing details, or cancel your subscription at any time from the Stripe customer portal — the link is in any billing email we send and from your account settings.

4. Cookies and Analytics

We use a single first-party cookie to keep you signed in. It holds a signed JSON Web Token (JWT) that expires after a short window; we use it to verify your identity on every authenticated request. We do not use this cookie for advertising or cross-site tracking.

We also store a small value in your browser's localStorage when a coach-to-coach referral link is used (the cp_referrer_id key), so the referring coach gets credit if you sign up later. You can clear this from your browser at any time.

CourtPlan does not load third-party advertising pixels — no Facebook Pixel, no Google Ads tag, no TikTok Pixel — on any page. We do not run cross-site tracking, retargeting, or "people also viewed" ad networks.

5. Data Sharing

We share your data only with the vendors that help us run CourtPlan:

Stripe. Processes Pro subscription payments. Subject to Stripe's privacy policy.

Render and Neon (our hosting and database providers). Store the application database and run the CourtPlan web service. Both operate under their own privacy and security policies.

Transactional email provider. Sends billing receipts, account notices, and (if you opt in) newsletter emails. We share only the email address and the message body.

We do not share your information with any other third parties, and we do not sell or rent it to anyone.

6. Data Retention and Deletion

We retain your account data for as long as your account is active. If you stop using CourtPlan, we will keep the records needed to handle any residual billing or fraud questions, and then we delete them on the schedule below.

You can request a copy of the data we hold about you, or request that we delete your account and all associated data, at any time. Email privacy@courtplans.com from the address on your account. We action verified requests within 30 days.

7. Children's Privacy

CourtPlan is a tool for coaches — not for the youth athletes in their programs. We do not knowingly collect information directly from minors. If you believe a minor has created an account, please contact privacy@courtplans.com and we will remove the account.

8. Changes to This Policy

If we make a material change to this policy, we will announce it via an in-app notification and/or an email to the address on your account at least 14 days before the change takes effect. Minor wording changes (typo fixes, clarifications that do not change meaning) may be made without notice; the "Last updated" date at the top of this page always reflects the most recent revision.
